Our Process

STEP 1: Understanding Your Needs

We take the time to understand your specific needs, such as the size of the space, location, timing, budget, and any special requirements you may have, such as access to public transportation or specific amenities, HVAC and power requirements and potentially zoning considerations. We will prepare a Preliminary Space Program to help define the office configuration and confirm square footage needs so we’re not starting the process guessing.

STEP 2: Market Research

We survey the market utilizing all of the key local/national real estate databases, including Costar, Loopnet, CREXI and Catylist, to identify potential properties that meet your needs. This research may also include speaking with other brokers in the market and leveraging our network of contacts.

STEP 3: Review with Client

We review the property research with you to home in on the top locations to thoroughly research with the listing brokers. We learn a lot from skillful conversations with the listing brokers that assists us in the final site selection and negotiations.

Step 4 - Property Tours

Once potential properties have been identified following review with you, we will schedule site visits for us to tour each space. This can typically include between one and eight locations in a day. We will help you evaluate the pros and cons of each property and provide guidance on the market value of each. On our tours we provide you with a snapshot comparison of the properties’ first-year lease costs and key features.

Step 5 - Initial Negotiations:

We typically counsel clients to select three locations for the Request for Proposal step, whereby we ask for information on key issues, including lease rates and escalations, operating expenses, HVAC cost apportionment, renewal and expansion rights, etc. At this step, we are setting the stage for expectations, and the brokers’ responses are compiled and discussed with our clients. This is a critical stage in negotiations to set expectations, present the client in the best light, and maintain as much leverage as possible.

Once our client selects a property from the three, we prepare a detailed Letter of Intent outlining requirements. We utilize our knowledge of the market, the property, and ownership to help you get the best possible deal, including the lease rate, term, special considerations, and any concessions or build-out allowances. The Letter of Intent negotiations proceed with the listing broker and ownership until agreement is reached on all terms.

STEP 6: Space Planning

We can help coordinate space planning with either your own architect or the building’s architect to help you evaluate up to three spaces to compare, and determine the most efficient layouts to maximize your use of the spaces.

STEP 7: Lease Negotiation

We negotiate the lease terms in close coordination with you and your real estate attorney. As realtors, we are allowed a very limited capacity in legal matters and all clients are counseled to retain legal assistance to protect their interests.

STEP 8: Completing the Transaction

Some of the most critical stages in the lease process can happen after the lease is signed, and can include tenant improvements, build-out, unexpected landlord issues and other surprises. We continue to monitor and assist until you have taken occupancy, and we can be retained as your project manager by separate fee for the tenant improvements construction.

STEP 9: Tenant Representation

We have specialized experience in tenant representation, which means we work exclusively with tenants and can help you negotiate favorable lease terms and provide guidance on other important issues, such as parking, signage, and accessibility. We do not represent institutional property owners, and if we are in a position to represent both a landlord and a tenant, we will be transparent with our tenant clients and determine with them the best way to continue representing their interests.
